License Key Statuses

Every key is in one of a few states, depending on whether it's assigned to an order, and what's happened to it since.

The statuses

StatusMeaningCan the customer see it?
UnassignedIn the product's pool, waiting to be assigned to an order. Also called available. No one has it yet.
AssignedAssigned to an order's line item. Also called active.Yes
ReturnedTaken back from the customer, but still attached to their order. It isn't in the pool, so it won't be sold again. No
DeletedRemoved from your inventory, but kept for your records. See Deleting License Keys.No

Three more labels describe a key's history rather than where it is now:

LabelMeaning
RevealedThe customer has revealed it at least once.
RestockableReturned, but never revealed, so it's safe to put back in the pool. A returned key that was revealed is sometimes called burned: it's never restocked automatically.
RestockedHas been put back in the pool at least once. A restocked key may have been sold again since.

How keys move between them

Unassigned ── order paid ──▶ Assigned ── return, refund or chargeback ──▶ Returned
▲
└──restocked, if the customer never revealed it and auto restock is on ◀─────┘
  • A key is assigned to one line item at a time.
  • Revealing doesn't change the status. A revealed key is still assigned. Revealing only means it can no longer be restocked automatically.
  • Restocking resets a key. It goes back to Unassigned, and its reveal log is cleared, so the next customer starts fresh.
  • Undoing a return takes a returned key back to Assigned.

Every change is recorded in the key's history, along with who or what made it. See Key History.
