When You Run Out of Keys

If a paid order needs more keys than the product has available, the order is still recorded. It just can't get all its keys yet.

What happens

  • The line item gets the keys that were available, which may be none.
  • You get an alert, Failed to assign license keys - Not enough license keys, naming the order, the product, and how many keys are missing. See Alerts & Notifications.
  • The customer sees a disabled Reveal License Key button, with a No License Key Available message. Their downloads still work.
  • The order warns you that the line item is missing keys.

Getting the customer their keys

  1. Add keys to the product.
  2. Then either:
    • wait for the nightly sync, which assigns keys to every order that's short, or
    • assign them now by editing the order.

The customer sees their keys on their order status page as soon as they're assigned.

note

The nightly sync only fills orders whose order reconciliation is on. If you've edited an order's keys by hand, add the missing keys yourself.

Preventing Running out of Keys

  • Keep Shopify's inventory in step with your keys. With Auto Sync Inventory on, Shopify's inventory for the product always equals its available keys. With inventory tracking on in Shopify, and Continue selling when out of stock off, Shopify stops selling the product when the pool is empty.
  • Watch your pools. Keep an eye on each product's Available Keys.
  • Restock returned keys. Auto Restock Inventory puts unused keys back in the pool after returns, so your stock lasts longer.
