Order Reconciliation
Order reconciliation keeps your orders in sync with Shopify. It runs automatically every day, checks that each order in the app matches Shopify, and corrects any difference it finds.
Orders can drift out of sync for all sorts of reasons, such as Shopify or the app being briefly unavailable when something changed. Reconciliation keeps the consequences of a mismatch to a minimum. To catch up straight away instead of waiting for the daily run, sync manually.
Every change the reconciliation job makes creates an alert. This way you can stay up to date on any changes, and are never blindsided by surprise changes. See Alerts & Notifications.
What it corrects
- Missing orders: an order exists in Shopify but not in the app.
- Missing line items: a line item exists in Shopify but not in the app.
- Returns: a line item is returned in Shopify but not in the app.
- Order changes: the order's name (for example, after a prefix change), dates or customer changed in Shopify.
- Missing keys: Shopify has a larger quantity than the keys assigned, so new keys are assigned from your inventory.
- Excess keys: Shopify has a smaller quantity than the keys assigned, so the extra keys are returned, or restocked if they were never revealed.
Orders created before the app was installed are never created, assigned keys, or restocked by reconciliation. See Orders From Before the App Was Installed.
Enabling and disabling
Reconciliation is on for every order by default. You can turn it off, or back on, for any order from the order's settings.
When it turns off automatically
Reconciliation turns itself off for an order when something changes the order in a way Shopify doesn't know about. Otherwise the next run would undo it. That happens when:
- you return, un-return, restock, delete, or assign a license key on the order,
- you mark a line item returned, or remove its returned status, or
- a chargeback is processed against the order.
You can turn reconciliation back on, but the next run may then undo your manual changes. See Editing an Order. Changes to content on an order, such as revoking or restoring access, unlinking content, or resetting a time or download limit, do not turn it off.
Syncing manually
If you'd rather not wait for the daily run, sync orders yourself with Manual Sync. For a selected date range from the Orders page, or for a single order. The app compares the orders with Shopify, and creates or updates them to match, making the same corrections as the daily run.
- Orders with reconciliation turned off are left alone, so your manual edits aren't undone. See Enabling and disabling.
- Orders from before you installed the app aren't created. Import them one at a time instead.
- Long date ranges take a while on a busy store. If a sync times out, sync a few shorter ranges instead.
